GPS check-in that works even without signal
Event venues have terrible Wi-Fi. Staff check in from their phone with GPS and an optional selfie, or a designated manager scans their single-use QR pass at the venue. Everything queues on the device and uploads itself the moment signal returns.
Included in every plan. No add-on fees.
How It Works
From check-in to approved timesheet
Check in
Staff open the PWA on their phone, confirm their shift, and check in. GPS location and optional selfie are captured automatically.
Work the shift
Elapsed time is tracked. Staff can log break minutes and add attendance notes during the shift.
Check out & submit
Staff check out at the end of their shift. The timesheet (with actual start, end, break minutes, and evidence) is submitted for review.
Manager approves
Managers review submitted timesheets, adjust approved minutes if needed, and approve or decline. Approved hours flow into payroll.
Offline-First
Built for venues with no Wi-Fi
Check in with no signal and the action is stored on the phone: location, time and photo. The moment connectivity returns it uploads itself, and it can't double-post even if the sync runs twice.
Progressive web app, no App Store download required. Staff add it to their home screen.
Capabilities
Accurate records your payroll can trust
GPS location capture
High-accuracy geolocation on check-in and check-out. Configurable per organisation: required or optional. Location cached for 5 minutes to reduce battery drain.
Manager-scanned QR check-in
Staff show a short-lived, single-use QR pass; a designated supervisor scans each arrival and departure. Use it instead of, or alongside, self check-in, configured per job. Ideal where indoor GPS is unreliable.
Selfie evidence
Optional photo at check-in. Stored securely. Only managers can view them.
Break tracking
Staff record break minutes during checkout. Break rules configurable per rate card: threshold before paid, duration, and whether breaks are deducted from billable hours.
Manager approval
Submitted timesheets go through a review workflow. Managers can adjust approved minutes, add notes, and approve or decline. Auto-approval rules available per organisation.
Reminders and late alerts
Every shift gets automatic email reminders, and managers are alerted before a late start becomes a no-show. See Attendance & Reminders
Tamper detection
Signals we flag for review (mocked location, emulator, developer tools and clock drift), each raising a risk score you can see on the timesheet.
Evidence storage
Location and photo evidence stored encrypted, with retention you set and scheduled deletion.
Payroll-ready output
Approved timesheets flow directly into Keruja's payroll runs. Actual start, end, approved minutes, and break deductions, no spreadsheet reconciliation needed.
FAQ
Common questions
Use QR mode: staff show a single-use QR pass and a designated manager scans them in and out at the venue. You choose the attendance mode per job.
Location is captured at check-in, and an out-of-area or missing GPS reading is recorded and flagged for manager review rather than blocked, so a genuine check-in never bounces.
Yes. Managers can adjust approved minutes and add notes during timesheet approval, and every change is logged.
Check-in, check-out and expense claims queue on the device and sync automatically. Browsing shifts and chat need a connection.
