Your catering workforce,
from first application to final report.
Keruja connects the people who actually run staffing in a catering business: recruitment, preparation, planning, assignments, worked time and the numbers finance needs.Keruja connects the people who actually run staffing in a catering business. Recruit and prepare your team, let party planners create events and staffing requirements, give staffing managers control of assignments and confirmations, and carry approved worked time through to finance without rebuilding the information along the way.
Your planners plan. Your staffing team staffs. Your people work. Finance gets the approved numbers. Keruja keeps the same information connected between them.
A catering event moves
through several people's hands.
The planner knows what the day needs. The staffing team turns that into named people on named shifts. Your staff need to know where to be. Somebody approves what was actually worked, and finance needs the approved figures for payroll. The planner knows what the day needs. The staffing team has to turn that into named people on named shifts. Your staff need to know where to be and when. Somebody approves what was actually worked, and finance needs the approved figures for payroll. Each of those steps often lives somewhere different: a spreadsheet, an availability form, a message thread or a folder of certificates.
- 01The brief arrives as an email or a message
- 02Two people have still not confirmed
- 03A Front of House shift has nobody on it
- 04One certificate is waiting to be reviewed
- 05Worked time needs approving after service
- 06Finance asks for the hours again on Monday
The information should not have to start again every time. In Keruja it stays connected around the same person and the same event.
One catering company. Different jobs to do.
Your staffing team and your party planners do different jobs. They should not have to pass the same event backwards and forwards through spreadsheets, emails and messages. Keruja gives each person the part of the operation they need, and keeps the event and the workforce records connected behind them.
Party Planner
Creates the event: date, venue, timings, the jobs the day needs and the shifts inside them. They can plan the event without being given full admin access.
Plans the eventStaffing Manager
Runs recruitment and workforce preparation, sees what the event needs, assigns suitable people, publishes the job and follows the confirmations.
Staffs the eventStaff Member
Completes onboarding and training, signs what you require, keeps availability up to date, receives work and checks in and out.
Works the shiftFinance / Owner
Works from approved hours and reports, prepares payroll-ready information and exports what the accountant or payroll provider needs.

Recruit on your own website, not somebody else's.
Put Keruja's recruitment widget on your own careers page. Applications arrive in your recruitment pipeline with the answers, the files and the consent you asked for, so your staffing manager reviews real candidates instead of rebuilding forms and inboxes.
Your pipeline, your stages, your questions. Applicants apply on your site; the pipeline lives in Keruja.
When you approve an applicant, you invite them into your staff records, where their agreement and required documents are issued and collected.Your staffing managers move candidates through the pipeline. When you approve an applicant, you invite them into your staff records, where their agreement and the documents you require are issued and collected.
Prepare the person before their first event.
Onboarding, training and quizzes, the documents you require, Right to Work where it applies, and the agreement you issue all attach to the same person. The applicant becomes a staff member without their information starting again from zero.
Issue the contract or worker agreement your business uses, collect the signature and keep the executed document with the staff record. Missing or expired requirements block the assignment.
The party planner creates the event.
Date, venue, the jobs the day needs, the shifts inside them, their timings and how many people each one takes. The planner puts the operational brief in once, in the place the rest of the work happens.

Your staffing manager receives an event that is already structured, instead of another brief to rebuild from an email, a spreadsheet or a message thread.
Party planners can build and update the event. Staffing managers and admins keep control of publishing, staff assignments and worked-time approval.
The staffing manager staffs what the planner created.
The event holds its jobs, and each job holds its shifts. Availability, readiness and role sit next to the gap, so your staffing manager can fill it in the same view instead of asking around.
Keruja ranks suitable people using multi-factor matching. Keruja never places someone on a shift by itself: a placement happens when your team assigns, or when a worker accepts an offer you sent.
Everyone signs in to their own part of it.
The same event, seen from each side. Nobody has to learn somebody else's job in order to do their own.
Events, jobs, shifts, readiness, worked time, rates and the payroll run.
Their offers, their shifts, their training, their documents and their own worked time.
The shifts at their event, the approvals awaiting them and a statement they can download.
Approve what actually happened during service.
Staff check in when they arrive and check out when they finish, or a manager records it for them. Worked time is then reviewed and approved, so the record of the event is settled while it is still fresh.
A check-in and a check-out at the venue, with location recorded at those two moments only. No continuous tracking. QR pass mode per job, where it is enabled for your account. Approval is a human decision: your manager, or your client where you give them that role.
This is the client view. Pay rates, gross pay and internal financial information stay inside your organisation.
Give finance the numbers without rebuilding the week.
Once worked time is approved, Keruja combines those hours with the pay rate recorded for each shift. Finance can review, lock and export a payroll-ready CSV.
Locking the run fixes the figures. Exporting produces a CSV for your payroll process.
Event, time, staff and compliance reports come from the same records, and finance roles can also open financial reports. Each one can be exported as a CSV, so your accountant or payroll provider receives a file rather than a rebuilt week.
Keruja prepares payroll data and exports it. Statutory payroll, payslips and payments stay with your payroll provider.
Pay for active staff, not your whole roster.
Your staff roster is usually larger than the team you use in any given month. Full detail sits on the Pricing page.
